Getting Started

Everything a trustee or property manager needs to set up EasyPoolPass and start checking passes — free, and usually in under 10 minutes.

Register Your Facility

No waiting on an account request — register your facility yourself with your facility name, your name, an email, and a password. You'll be signed in immediately and given a unique 4-character facility code.

Residents will use this code, along with their own phone number, to find your facility and sign in — you can change it anytime from Facility Profile if you'd like something more memorable.

Add Your Residents

There are two ways to add residents from the Residents page in your admin dashboard:

Add one at a time — good for a handful of residents or making occasional additions.

Bulk import a CSV — faster for a full resident list. Build a spreadsheet in Excel or Google Sheets, export it as a CSV with no header row, one resident per line, in this exact column order:

Name, Address, Phone, Date of Birth (optional, YYYY-MM-DD), (unused), Type ("Adult" or "Child"), # Adults, # Children, Email (optional), (unused).

The "# Adults" and "# Children" columns are the maximum number of people — including the resident themself — allowed to enter together on that resident's daily pass. Upload it, review the preview for any flagged errors, and commit once everything looks right.

Manage Resident Status

Every resident is Active or Inactive — set this from the Residents page. Inactive residents can't sign in, which makes it easy to pause access for a resident who's moved or fallen behind on dues without deleting their record.

Review Membership Requests

Prospective residents can request access themselves from your facility's application link (find it on your Facility Profile page) — no more manually collecting membership forms. Approved requests turn into resident accounts automatically; you can review, approve, or reject each one from Requests in your dashboard.

Set Your Guest Pass Policy

From Guest Pass Policy, decide how many guests each resident can bring per visit, and whether guest passes are free or carry a cost. There's no platform fee added on top — whatever you set is exactly what's charged.

How Residents Sign In

Once you're set up, checking a pass is simple for residents:

Visit your sign-in page → enter the facility code → enter their phone number → done.

From there, they see today's pass and can adjust how many adults and children are entering with them. If your facility allows guest passes, they can request one right from the same screen.

Keep an Eye on Your Dashboard

Your dashboard shows check-ins, guest passes, and revenue for Today, the last 7 or 30 days, the current or previous year, or all time — plus a 7-day chart and detailed check-in and guest pass reports. Use it to spot peak hours, track attendance, and see exactly how your facility is being used.
